Midokura is a software development company that has recently been acquired by the Sony Group.

Funded in 2010, the company was sturdily developing and turned into an essential part of an international holding. 

Case description

Midokura was looking to automate its procurement process. 

Purchase orders and bills to them were created manually, which started posing a problem when the volume of POs inevitably grew. 

Once a PO was created, it had to be followed up carefully and incoming bills had to be manually linked to a specific Purchase order, which could be a source of expensive human errors. 

Imagine the stress for the chief accountant, who has to constantly work at the peak of their concentration not to let a wrong payment pass . 

Moreover, after being acquired by Sony, Midokura needed a compliant and transparent way to handle external payments to be able to present their data for audit at any given moment without having to collect it all over email chains or Slack messages. 

The goal was to automate creating POs and linking them to bills, as well as get a solid approval log for every bill paid. 

The process with Approveit

Now, Midokura’s process looks like this: 

  1. The purchase order gets created in Approveit and automatically sent for approval to responsible team members. 
  2. Once the PO gets approved, based on it the bill gets created right in Approveit that links to this PO. 
  3. The bill goes for approval, and once approved, gets automatically copied to Google Sheets where it’s easier for Midokura to track it and now it can proceed to payment. 

What was achieved

Midokura, first and foremost, have achieved full transparency in their procurement. 

They approve all POs and all incoming bills before payments right in Slack, and the audit trail is always there if needed. 

All procurement-related questions have been restricted to one communication channel which makes it easy to find any relevant information. 

Bills and POs are linked, making it easy to follow. 

And all that happens faster and is much more scalable than before.
